Policy for changing the edition number of accepted articles
This policy establishes the procedure and conditions for requests to change the edition number of an article already accepted by the journal or by the author (upon prior notification by email from the author), when the request comes from the author. Our goal is to maintain the integrity and accuracy of academic records, while recognising that exceptional circumstances may arise.
1. Justification and Scope
We understand that, on specific occasions, it may be necessary to request a change in the edition number of an article already accepted by the journal or by the author themselves (upon prior notification by email from the author). However, given the impact this has on the traceability, citation and organisation of the journal, these requests will be considered under strict criteria and with solid justification.
2. Application Procedure
To request a change of manuscript in an issue number, the author must:
- Complete and Submit a Formal Letter: The author must fill out a letter addressed to the Editorial Board of the journal. This letter must include:
- Full title of the article.
- Full name(s) of the author(s).
- Current issue number of the article.
- Desired issue number for the article.
- Detailed justification: A clear, concise, and well-founded explanation of the reason for requesting the change in issue number. The justification must be exceptional and must not be the result of an omission or error on the part of the author that could have been corrected in previous stages of the editorial process.
- Date of the request.
- Handwritten signature(s) of the author(s) involved.
- Submission of the letter: The duly completed and signed letter must be sent to the email or physical address designated by the journal for this purpose. Consequently, the journal will not take any action until the procedure has been correctly followed.
3. Response time
The Editorial Board undertakes to issue a formal response to the request within a maximum of 45 working days from receipt of the complete letter with the required information.
4. Evaluation of the Request
All requests will be rigorously evaluated by the Editorial Committee, which will consider the validity and soundness of the justification presented. The decision of the Editorial Committee is final. Priority will be given to the integrity of the journal's records and the consistency of published editions.
5. Possible Financial Penalty
Given the administrative costs, reprinting costs (if applicable), database updating costs, and indexing costs involved in changing the issue number, the journal may apply a financial penalty (fine) to the author or authors who requested the change. The amount of this fine will be determined by the Editorial Committee based on the impact and costs generated by the change. Payment of this fine will be reviewed by the IPSUMTEC journal committee.
6. Implementation of the Change (if applicable)
If the request is approved and any financial penalty has been paid, the journal will proceed to make the necessary changes to its internal records, digital platforms and, if applicable, future reprints or updates of the edition. The author will be notified once the change has taken effect.
